Event Production Timeline: 30 Days to Show Day
A practical month-long timeline for scope, venue coordination, media, rehearsals, confirmations, and show day.
30 days out: define the production
Confirm the event objective, venue, audience, agenda, room plan, production scope, service partners, decision-makers, and budget approvals.
21 days out: connect the details
Review venue access, power, placement, loading, house requirements, presenters, performers, media, branding, music direction, and technical responsibilities.
14 days out: build the working plan
Update the agenda and room plan, confirm equipment and personnel, collect presentation details, define cues, and schedule rehearsals or system checks.
7 days out: confirm execution
Finalize contacts, crew calls, loading instructions, media files, microphone assignments, music cues, weather plans, setup timing, guest arrival, and strike requirements.
1 day out: protect the essentials
Distribute final documents, confirm access and contacts, back up media, charge devices, and avoid untracked last-minute changes.
Show day and follow-up
Complete setup and checks, brief presenters and operators, manage approved cues, document material changes, complete strike, and capture follow-up needs after the event.
