How to Plan Sound for a Corporate Event

A practical framework for clear speech, reliable playback, useful rehearsals, and audience coverage.

Start with the program

List every presenter, panel, video, walk-in track, award cue, remote participant, and audience interaction. The program determines the microphone, playback, connection, and operator needs.

Plan for the room

Share the audience count, seating layout, stage position, room dimensions, and any areas that need separate coverage. Clear speech depends on placement and coverage, not volume alone.

Build the microphone plan

Identify who speaks, whether they move, and how microphones change hands. Confirm lectern, handheld, lavalier, panel, and audience-question needs.

Confirm media and connections

Document presentation devices, video playback, music, conferencing, and backup files. Assign cue ownership and test the final media on the actual system.

Protect rehearsal time

Schedule a quiet system check before doors. Include presenters when microphone technique, walk-on cues, videos, or remote connections need confirmation.

Final checklist

  • Audience and room layout
  • Presenter and microphone list
  • Playback and conferencing sources
  • Venue power and access
  • Sound-check window
  • Operator and cue responsibilities
