A Practical Lighting Checklist for Professional Events
Planning guidance for stage visibility, room atmosphere, brand presentation, cues, power, and venue restrictions.
Define the visual priorities
Identify what guests must see clearly and what should receive visual emphasis: presenters, stages, signage, architecture, tables, displays, or dance areas.
Review the room
Share room dimensions, ceiling height, wall finishes, ambient light, windows, rigging limitations, and approved fixture positions.
Coordinate colors and branding
Provide brand colors, decor references, presentation graphics, and any colors that should be avoided. Confirm whether lighting should stay consistent or change during the program.
Plan cues
List walk-ons, awards, videos, performances, transitions, dancing, and closing moments that may need a lighting change. Assign who calls and who operates each cue.
Confirm venue requirements
Review power, cable paths, fixture restrictions, fire and safety rules, atmospheric effect permissions, and strike timing.
