What Venues Should Confirm Before Event Load-In

The access, timing, power, placement, and communication details that help production enter and leave a property smoothly.

Assign the right contacts

Provide a venue contact who can answer loading, room, power, and placement questions, plus the event or planner contact who can approve program decisions.

Confirm the route

Document loading entrances, docks, curb access, parking, security, service elevators, stairs, door widths, and the path into the room.

Protect the setup window

Confirm when production may enter, when the room must be guest-ready, and when sound checks can occur without conflicting with catering, decor, or venue operations.

Review power and placement

Approve speaker, lighting, technical, and DJ positions along with cable paths and power sources. Keep exits and service paths clear.

Plan the strike

Confirm guest departure, breakdown start, dock or elevator access, venue deadline, and the person authorized to release production.
